Privacy Policy

Pilot IQ (“we,” “us,” or “our”) operates the platform at getpilotiq.ai. This Privacy Policy explains how we collect, use, store, and protect your information when you use our AI-powered pilot training platform.

1. Information We Collect

Account Information

When you create an account, we collect your full name, email address, and password (stored as a secure hash). If you sign up through an instructor invite or school code, we also record that association.

Flight Training Data

To provide AI-powered debriefs and track your progress, we collect flight session data you log including: session dates, flight and ground hours, aircraft tail numbers, airport identifiers, session types, takeoffs and landings, weather conditions, focus areas, and personal notes. If you are pursuing instrument or commercial ratings, we also track IMC time and approach types.

GPS Track Logs

When you upload or email a track log file (ForeFlight CSV, GPX, or G1000 format), we parse and store the GPS coordinates, altitude, groundspeed, and timing data from your flights. Track logs are subsampled to a maximum of 500 points per flight for storage. This data is used for AI flight analysis, approach scoring, and route visualization.

Medical & Certificate Information

If you choose to provide it, we store your medical class and expiration date, current certificates held, and certificate goal. This information is used solely to tailor your training experience and readiness assessment.

Instructor & School Data

If you are a CFI or DPE, we collect your professional information including certificate numbers, ratings, and flight school affiliations. Instructor debriefs and student evaluations are stored to support the training relationship.

Usage Data

We automatically collect basic usage analytics through Vercel Speed Insights to understand how our platform performs. We use Sentry for error monitoring to identify and fix bugs. These services may collect browser type, device information, and interaction data.

2. How We Use Your Information

We use the information we collect to:

  • Provide AI-powered flight debriefs and performance analysis
  • Calculate checkride readiness scores and track ACS task proficiency
  • Generate personalized training recommendations
  • Enable instructor-student collaboration and progress tracking
  • Calculate personal weather minimums based on your flight history
  • Send notifications about debriefs, training milestones, and account activity
  • Process payments and manage subscriptions
  • Improve our platform and AI analysis quality

3. AI Processing

Your flight data, track logs, and instructor notes are processed by AI systems (currently Anthropic's Claude) to generate debriefs, identify strengths and areas for improvement, and flag safety concerns. AI-generated analysis is clearly labeled as such throughout the platform. AI outputs are advisory only and do not constitute flight instruction or replace the judgment of a certified flight instructor.

4. Data Sharing

We do not sell your personal information. We share data only with:

  • Your Instructors & School: If you are linked to a CFI or flight school, they can view your flight sessions, progress, and AI debriefs to support your training.
  • Payment Processor: Stripe processes payments on our behalf. They receive only the information necessary for billing. See Stripe's Privacy Policy.
  • AI Provider: Flight session context is sent to Anthropic for AI analysis. This data is not used to train their models. See Anthropic's Privacy Policy.
  • Infrastructure: Our platform runs on Vercel. Our database is hosted on Neon. Email notifications are sent via Postmark.
  • Error Monitoring: Sentry receives error reports which may include technical context about your session (no flight data is intentionally included in error reports).

5. Data Retention

We retain your account and flight training data for as long as your account is active. Flight logs and AI debriefs are retained indefinitely to provide historical progress tracking — many pilots reference training records years later for insurance, employment, or recurrency purposes. If you delete your account, we will remove your personal information within 30 days, though anonymized and aggregated data may be retained.

6. Data Security

We implement industry-standard security measures including: encrypted data transmission (TLS), hashed passwords (bcrypt), secure session management, and access controls. Our database is hosted in encrypted-at-rest infrastructure. However, no system is perfectly secure, and we cannot guarantee absolute security of your data.

7. Your Rights

You have the right to:

  • Access: Request a copy of all data we hold about you.
  • Correction: Update inaccurate information in your profile or flight records.
  • Deletion: Request deletion of your account and associated data.
  • Export: Download your flight logs and training data in a standard format.
  • Objection: Opt out of AI analysis for your flights (your data will still be stored but not processed by AI).

8. Children

Pilot IQ is not intended for users under 16 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. The “Last updated” date at the top reflects the most recent revision.
